How to Use the System
The Attendance Monitoring System (AMS) is a QR‑code‑based platform that streamlines time‑in/time‑out tracking, learning material management, and live online classes for students, instructors, and administrators. Below you will find role‑specific instructions to help you navigate the system efficiently.
Administrator
Admin- Dashboard – View overall system statistics (total students, instructors, active sessions).
- User Management – Add, edit, or deactivate user accounts (students, instructors, deans, CDs).
- Campus & Department – Manage campus and department records.
- Subject Management – Create and assign subjects to instructors.
- APS Data – Oversee all uploaded learning materials (view, edit, delete any file).
- Live Classes – View and monitor all live sessions across the system; manage session statuses.
- Reports – Generate attendance reports for any date range and export as PDF/Excel.
- System Settings – Configure system parameters (e.g., QR code expiry, time zone).
Tip: Admins have full access – use the dashboard to monitor system health and resolve user issues quickly.
Dean
Dean- Department Overview – View attendance statistics for your department.
- Student Records – Access student profiles and attendance history within your department.
- Instructor Performance – Review instructor attendance records and subject assignments.
- Live Classes – Monitor live sessions conducted by instructors in your department.
- Reports – Generate departmental attendance reports for audits.
- APS Data – View and manage learning materials uploaded by instructors in your department.
Tip: Use the Reports module to prepare compliance documentation for your department.
CD (Coordinator)
CD- Schedule Management – Create and manage class schedules for your department.
- Student Enrollment – Enroll students in subjects and monitor enrollment status.
- Attendance Monitoring – View real‑time attendance for all classes under your coordination.
- Live Classes – Coordinate and monitor live sessions conducted by instructors.
- APS Data – Review and manage teaching materials uploaded by instructors.
- Reports – Generate subject‑wise attendance summaries.
Tip: Coordinate with instructors to ensure accurate attendance logging and timely material uploads.
Instructor
Instructor- QR Scan – Scan student QR codes to record time‑in and time‑out for your classes.
- Subject Assignment – View and manage the subjects you are assigned to teach.
- APS Data – Upload, edit, and reorder learning materials (PDF, PPT, videos, Google Drive links).
- Live Class Management – Create, edit, and delete live sessions for your subjects. Set session title, description, meeting link (Google Meet/Zoom), start/end times, and status (Scheduled/Ongoing/Ended). Students will see and join these sessions from their portal. NEW
- Student Location Map – View where students are checking in from (with satellite and street view).
- Student Roster – See the list of students enrolled in your subjects.
- Attendance Reports – Generate and download attendance reports for your classes.
Tip: Use the Live Class section to schedule online sessions. Students can join via the provided meeting link during the scheduled time.
Student
Student- My QR Code – View and download your personal QR code (used for time‑in/time‑out).
- APS Data – Access learning materials uploaded by your instructors (view only).
- My Subjects – See the subjects you are enrolled in, and self‑enroll in new subjects if allowed.
- Live Classes – View all upcoming and ongoing live sessions for your enrolled subjects. Each session shows the title, instructor, schedule, and a Join button that opens the meeting link (Google Meet, Zoom, etc.) when the session is active. NEW
- Attendance History – View your own attendance records (dates, times, subjects).
- Location – Your time‑in location is captured via GPS (ensure location permissions are enabled).
- Download Materials – View files and links provided by instructors (no download – preview only).
Tip: Keep your QR code handy – scan it with the instructor’s device when entering the classroom to record attendance. For live classes, check the Live Class section regularly for scheduled sessions.
